Five more questions

The four asked before anyone converts anything — what it is, whether it uses AI, whether the invoice is uploaded, which profile to pick — are answered on the tool page itself, where they are needed. These five come up afterwards.

My PDF is a scan. Will it work?
No. A scanned or image-only PDF has no text layer to read, and E-Invoice Converter does not add OCR to work around that — it reads only text the PDF already carries, so it never guesses a value from pixels.
What do the validation findings mean?
Each one is a sentence naming the affected field, the expected value against the current one, and the published EN 16931, XRechnung or Peppol rule id, such as BR-CO-15 or BR-DE-15, so you can look up the exact rule rather than take the tool's word for it.
Can it fix problems for me?
Arithmetic ones, in one click. Rebuilding the totals, rebuilding the VAT breakdown, deriving line amounts and numbering lines follow from figures already on the invoice. One value is offered rather than calculated: when a party has a VAT identifier but no electronic address, that identifier is offered as the address, and it is used only if you accept it. A line's VAT category still marked Unsure follows the rate you type. Nothing else changes without you typing it in.
Can it generate credit notes?
Yes. Pick "Credit note" from the invoice type code field itself — it's one of four options in a closed dropdown, not something you type in.
Is there a file size limit?
Yes, 20 MB. A larger PDF is rejected before parsing starts.

What it looks like on a real conversion

Three cases the extractor and validator are built to handle.

A freelancer invoicing a Belgian client

Input

an ordinary PDF invoice generated from a spreadsheet or invoicing software, with a text layer.

Output

Peppol BIS 3.0 UBL XML, suggested automatically because the buyer's country is Belgium, plus a validation report.

Finding

The profile is a suggestion, not a lock — it can be switched before generating.

A German buyer expects a Leitweg-ID

Input

a PDF invoice for a German public-sector buyer, with no routing identifier printed on it.

Output

the buyer reference field is left Missing rather than guessed.

Finding

BR-DE-15 — the buyer reference is required for German public-sector recipients, and validation fails until the Leitweg-ID is typed in.

An IBAN with a mistyped digit

Input

a PDF where the IBAN was retyped by hand somewhere upstream, with one digit swapped.

Output

the field is marked Invalid — the mod-97 check digit does not match — before the file is ever generated.

Finding

The mistake is caught before the invoice is sent, not after it bounces back from the buyer's system.

Who has to send a structured invoice

Anyone who has just been told a customer needs a structured invoice — not a bookkeeping department already running an ERP with e-invoicing built in.

Freelancers and sole traders

You invoice from a template or simple software and a client has just asked for Peppol or XRechnung. Convert the PDF you already make; you don't need new invoicing software.

Small and mid-sized businesses

Your accounting software doesn't export UBL yet, or you aren't ready to switch. Convert the invoices it already prints while you decide.

Accountants and bookkeepers

Prepare a client's outgoing invoice for a Peppol-registered customer, or check that a converted file will actually pass before it is sent.

Finance and accounts receivable teams

Handle the occasional invoice that a customer's e-invoicing mandate now requires in a structured format, without adding a Peppol access point for so few invoices.
